The formula

  1. Turnover rate = separations in the period ÷ average headcount × 100
  2. Cost per replacement = advertising and fees + manager hours × manager hourly cost + training hours × (trainee wage + trainer wage) + uniforms and onboarding costs
  3. Cost for the period = cost per replacement × separations

How to read the result

The calculator uses only your own figures. Published turnover-cost numbers vary widely by source and method, so a figure built from your wages and your training plan is more useful than a borrowed one.

Count everyone who left, for any reason, including seasonal staff whose season ended. If you want to see the part you can influence, run it a second time counting only people who quit.

What the arithmetic leaves out is real too: slower service while a new hire learns the menu, comps from mistakes, and overtime for the people covering the gap.

  • Can a new server be paid the service rate while training?

    No. A new hire who receives no tips during training is not a tipped employee yet, so those hours are paid at the full $15.00. What your other servers make in tips does not count toward the trainee.

    Within 14 days of the start date, to the Department of Revenue, for every employer regardless of size. Rehires who were off payroll for 30 days or more, including returning seasonal staff, are reported again.

How do you calculate turnover rate in a restaurant?

Divide the number of employees who left during the period by your average headcount for the period, then multiply by 100. A restaurant that averaged 30 employees and had 24 leave in a year has an 80% turnover rate.

What does it cost to replace a restaurant employee?

Add what you spend to advertise the job, the manager hours spent interviewing and onboarding, the training hours for both trainee and trainer, and uniforms or other set-up costs. In Massachusetts, training shifts without tips are paid at the full $15.00 minimum wage.
