What are the best onboarding services for restaurants?

Restaurant onboarding tools split into software that collects new-hire forms on a phone, such as Workstream, 7shifts, Toast Payroll, Harri, Homebase and Gusto, and services that make sure the whole sequence gets finished, such as BOHO. Software fixes awkward forms. A service fixes onboarding that nobody owns. Many restaurants need both.

Restaurant onboarding help comes in two kinds: software that collects the forms, and a service that makes sure they get done. Software can send an I-9 to a new hire's phone. It will not chase the manager who never examined the documents, file the state new-hire report or notice the missing work permit.

This list covers both kinds, and says which each one is.

1.Back of House Ops (BOHO)

Restaurant HR administration and payroll coordination · Massachusetts

Onboarding administration for Massachusetts restaurants. BOHO runs the sequence from offer to first payroll: tax forms, direct deposit, handbook acknowledgements and role certifications collected and checked, the employee record set up before the first run, and state new-hire reporting on deadline. Certification expiry dates are tracked too. Your manager still examines I-9 documents, because only the employer can.

Best for: restaurants that already have onboarding software but still end up with incomplete files after a busy hiring week.

Not the right fit if: you want someone else to become the employer (that is a PEO), you want benefits bundled in, or you operate outside Massachusetts. BOHO is not a PEO, not the employer of record and not a law firm, and it serves Massachusetts restaurants only for now. The scope page lists what it does and does not do.

Hiring, onboarding and payroll software · Works nationwide

Hourly-workforce software where new hires complete I-9 and W-4 forms, direct deposit and handbook acknowledgements from their phone. It also offers E-Verify.

Best for: multi-unit and franchise groups hiring hourly staff in volume.

Worth knowing: built with larger groups in mind, so a single independent restaurant may not need all of it.

Restaurant scheduling with onboarding · Works across the US and Canada

The restaurant scheduling platform includes an onboarding module for signing and storing new-hire documents online, including I-9 and W-4 forms.

Best for: restaurants that already schedule in 7shifts.

Worth knowing: check which plan includes onboarding before you rely on it.

4.Toast Payroll & Team Management

POS-integrated payroll software · Boston-based company; used nationwide

Toast's payroll product lets new hires fill in their paperwork on their phones, and Toast's employer guide walks through the I-9 and W-4 steps, including the employer's own I-9 verification.

Best for: restaurants already on Toast POS that want onboarding in the same system as payroll.

Worth knowing: the software collects the forms, but a manager still has to examine I-9 documents and follow up on anything missing.

5.Harri

Hospitality workforce software · Works nationwide

A hospitality-only workforce platform whose pre-hire tools handle onboarding with automated tax form generation, central document storage and HR system integration.

Best for: larger multi-unit and enterprise hospitality brands.

Worth knowing: it is built for scale, and payroll usually runs through a separate provider it integrates with.

6.Homebase

Small-business scheduling, HR and payroll · Works nationwide

Scheduling, time tracking, hiring and onboarding software for small businesses, with a restaurant offer. Its HR and compliance add-on includes access to HR advisors and a custom handbook.

Best for: small independent restaurants that want one inexpensive app for the basics.

Worth knowing: it is designed for small teams rather than large multi-state groups.

7.Gusto

Payroll and HR software · Works nationwide

Payroll and HR software that lets new hires onboard themselves and e-sign paperwork such as W-4s and I-9s. Higher plans add custom documents such as offer letters and handbooks.

Best for: small restaurants that want simple payroll with onboarding built in.

Worth knowing: it is not built specifically for restaurants, so check how it handles tips and your POS.

Software, service, or both

If your files are incomplete because the forms are awkward to collect, software fixes that. Pick the one that fits the systems you already use. If your files are incomplete because nobody owns the follow-up, software alone will not help, and you need a person or a service to own it.
